This Privacy Policy explains how Ansoar collects, uses, discloses and protects information when you visit ansoar.io or use the Ansoar service (together, the “Service”). It is written for a business audience: Ansoar is a business-to-business software service, and most of the information we process is provided by, or on behalf of, our business customers.
1. Who we are
The Service is operated by Ansoar (ABN 44 509 156 060), based in New South Wales, Australia. You can contact us at hello@ansoar.io. References to “Ansoar”, “we”, “us” and “our” in this policy are references to that business.
2. Scope
This policy applies to information we collect through the Service, including our website, web application, account and authentication flows, support channels and transactional communications. It applies to visitors, account holders, workspace members and the individuals whose information our customers place into the Service.
Ansoar is intended for use by organisations and by individuals acting for an organisation. The Service is not intended for personal or household use and is available only to people aged 18 or older.
Information our customers submit about others
Customers, including agencies, may enter information about their own business, their employees and workspace members, their clients and client businesses, and, where they choose to do so, their own customers or end users. Where a customer submits personal information about another person, the customer is responsible for ensuring they have the authority and, where required, a lawful basis to do so, and for providing any notices that person is entitled to receive. We process that information as a service provider on the customer’s instructions and under our agreement with the customer.
3. Information we collect
Information you provide
Depending on how you use the Service, this may include:
- account details such as your name, email address and authentication identifiers, including where you sign in with Google or Microsoft;
- business details such as business name, website URLs, locations, markets served and descriptions of products or services;
- workspace information, including the customer decisions you choose to track, competitors you nominate, target markets and the AI platforms you select;
- information about clients or client businesses that an agency or team places into a workspace;
- content you supply for analysis or to inform recommendations, such as page URLs, page content, drafts and notes;
- records of changes you log in the Service and related context;
- billing contact details, where you purchase a paid subscription (payment card details are collected by our payment provider, not stored by Ansoar);
- communications with us, including support requests and feedback.
Information collected automatically
When you use the Service, we and our service providers may automatically collect technical and usage information, which may include IP address, browser type and version, device and operating system information, language settings, referring pages, timestamps, pages and features used, application events, diagnostic and error logs, and security logs such as sign-in attempts. We use this information to operate, secure and improve the Service.
Information generated by the Service
The Service generates measurement data on your behalf, such as retained AI answers, classifications of those answers, cited sources, competitor observations, recommendations and reassessment results. This data is part of your workspace.
4. AI search measurement
Ansoar measures how third-party AI systems respond to searches relevant to your business. To do this, the Service may interact with third-party AI platforms and large language models through their user interfaces, through automated retrieval methods where used by the Service, through direct API access to providers such as OpenAI where used, and through other third-party providers that help retrieve or analyse AI search results.
In performing these measurements, the tracked searches you configure, information about your business and competitors, and related measurement data may be submitted to or processed by the relevant third-party AI providers as required to perform the Service. Different measurements may involve different providers, and no single provider handles every measurement. Those providers process information under their own terms and privacy policies, together with the agreements and settings applicable to Ansoar’s use of their services.
Measured answers are records of what a third-party system returned at a specific point in time. They may mention businesses or people. Ansoar retains these records so that the metrics shown in the Service can be inspected and verified.
5. How we use information
We use information for the following purposes:
- to provide, operate and maintain the Service and your workspaces;
- to authenticate users and manage access;
- to measure AI search visibility and generate analysis, evidence and recommendations;
- to process billing and manage subscriptions;
- to provide customer support and respond to enquiries;
- to send transactional and service communications, such as sign-in links, receipts, security notices and material changes to the Service or these terms;
- to secure the Service, prevent abuse and detect, investigate and address security incidents;
- to diagnose errors and improve the reliability, performance and usability of the Service;
- to understand how the Service is used in aggregate;
- to comply with legal obligations and enforce our agreements.
6. Service providers and other disclosures
We disclose information to service providers who help us operate the Service. These providers act on our instructions for the purposes described in this policy. Current categories, and the providers we currently use or may use within them, include:
- hosting, networking, content delivery and security: Cloudflare;
- authentication and account infrastructure: Better Auth, together with Google and Microsoft where you choose to sign in with those providers;
- payments and subscription billing: Stripe;
- error monitoring and diagnostics: Sentry;
- transactional email delivery: Resend;
- AI measurement and analysis: OpenAI and other third-party AI or LLM services used to retrieve or analyse AI search results.
We may also disclose information where required by law, regulation or legal process; to protect the rights, safety or property of Ansoar, our customers or others; in connection with a merger, acquisition, financing or sale of assets, subject to appropriate confidentiality protections; and with your direction or consent. We do not sell personal information.
7. Customer data and AI training
Ansoar does not use the private content of customer workspaces, including tracked searches, business and client information, logged changes and generated recommendations, to train general-purpose AI models for other customers.
Where the Service submits information to third-party AI providers in order to perform measurements or analysis, those providers process that information in accordance with the agreements and settings applicable to Ansoar’s use of their services. We use business or API arrangements where available and configure available settings to limit use of submitted data for provider training. We cannot control third-party systems beyond those arrangements.
We may use aggregated or de-identified information that does not identify a customer, workspace or individual to improve the Service and understand market trends.
8. Retention
We retain account and workspace information for as long as your account is active and as needed to provide the Service. After an account is cancelled or closed, we may retain some information for a reasonable period for backup, dispute resolution, security, accounting, tax and other legal purposes. Information that is no longer required is deleted or de-identified where appropriate. Copies held in backups expire in line with our normal backup cycles rather than immediately.
Measurement records may be retained for the life of the workspace so that historical metrics remain verifiable. Diagnostic and security logs are retained for limited periods appropriate to their purpose.
9. Access, correction, export and deletion
Depending on where you are located, you may have rights under applicable law to request access to personal information we hold about you, to have it corrected, to receive a copy of it, to have it deleted, or to restrict or object to certain processing. You can make a request by emailing hello@ansoar.io. We may need to verify your identity before acting on a request, and some rights are subject to exceptions under applicable law.
Where the Service provides the functionality, account and workspace administrators can manage members, edit workspace information and remove content directly. If your information was placed into the Service by one of our customers, we may refer your request to that customer or ask you to contact them directly, as they control how that information is used.
Deletion from live systems is carried out within a reasonable time. Deleted information may persist in backups until those backups expire.
If you are not satisfied with how we have handled a request or complaint, you may contact your local privacy regulator. In Australia, this is the Office of the Australian Information Commissioner.
10. International processing
Ansoar is intended for use by customers around the world and relies on cloud, authentication, payment and AI providers that may operate in multiple countries. As a result, information may be stored and processed outside the country in which you are located, including in countries whose privacy laws differ from your own. Where applicable law requires safeguards for such processing, we take reasonable steps to put appropriate protections in place, including contractual commitments with our service providers.
11. Security
We use reasonable technical and organisational measures designed to protect information from unauthorised access, disclosure, alteration and loss. These include encryption in transit, access controls, authentication through established identity providers, monitoring and logging, and limiting access to personal information to people who need it to perform their role. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a security incident affecting your information, we will notify you and any relevant authority where the law requires us to do so.
12. Marketing communications
We send transactional and service communications that are necessary to operate the Service, such as authentication emails, billing notices and important product or policy updates. You cannot opt out of these while you hold an account.
We may occasionally send marketing communications about Ansoar to people who have signed up for the Service or asked to hear from us. You can opt out at any time by using the unsubscribe link in the message or by contacting us. We do not purchase mailing lists.
13. Cookies and similar technologies
The Service uses cookies and similar technologies that are strictly necessary to operate it, such as maintaining your session after sign-in and protecting against security threats. If we introduce optional analytics or advertising technologies in the future, we will update this policy and, where the law requires, seek your consent before they are used.
14. Children
Ansoar is intended for users aged 18 or older and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has provided us with personal information, please contact us and we will take steps to delete it.
15. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, notify account holders through the Service or by email. Your continued use of the Service after a change takes effect indicates that you accept the updated policy.
